1. Who We Are

FuelDesk ("we", "us", "our") is petrol pump management software operated under the name FuelDesk Technologies, India. FuelDesk provides cloud software that helps petrol pump owners manage fuel sales, credit ledgers, day closing, staff, tanks, and related business records.

2. What Data We Collect

Account information: name, email address, phone number, role (owner, manager, staff), and password (stored only as a secure cryptographic hash — we never store plain-text passwords).
Pump business data: fuel sales, meter readings, tank stock, tanker deliveries, expenses, cash book entries, credit customer (udhaar) records, staff salary records, oil/lubricant sales, and related business records that you enter into the app.
Uploaded files: profile photos and invoice photos that you choose to upload.
Usage and technical logs: login timestamps, IP addresses, and basic server logs required for security and troubleshooting.

3. How We Use Your Data

To provide and operate the FuelDesk service (reports, closing, ledgers, and all app features).
To send essential service emails (for example, support ticket replies and account notifications).
To keep the service secure, prevent abuse, and troubleshoot technical problems.
To comply with applicable law.

We do not sell your data, and we do not use your business data for advertising.

4. Data Isolation Between Pumps

FuelDesk is multi-tenant software. Every pump's data is strictly separated at the application level — one pump's users can never see another pump's data.

5. Third-Party Services We Use

The following services process limited data on our behalf, only to run FuelDesk:

Hostinger (server hosting): our servers and database run on Hostinger infrastructure. Your data is stored on these servers.
Resend (email delivery): sends transactional emails (such as support ticket replies) to your registered email address.
Google Gemini (AI invoice scanning): when you use the invoice photo scan feature, the invoice image is sent to Google's Gemini API to extract the amount and invoice number. The image is not permanently stored by FuelDesk after processing.

If we add an online payment provider (for example, Razorpay) in the future, payment card/UPI details will be processed directly by that provider — FuelDesk will not store them — and this policy will be updated accordingly.

6. Data Storage and Security

All traffic between your device and our servers is encrypted with HTTPS (TLS).
Passwords are stored using industry-standard one-way hashing (bcrypt).
Servers are protected with firewalls and intrusion-prevention measures.
Daily automatic backups are taken to protect against data loss.

No system can be guaranteed 100% secure, but we follow standard industry practices to protect your data.

7. Your Rights

In line with the Digital Personal Data Protection Act, 2023 (India), you may:

Access the personal data we hold about you.
Correct inaccurate personal data.
Delete your account and associated data.
Export a copy of your data.

To exercise any of these rights, email us at rajanmeena2030@gmail.com. We respond within a reasonable time, normally within 30 days.

8. Data Retention

We keep your data for as long as your account is active. If your account is deleted, associated pump data is removed from our live systems, and it rotates out of backups within the backup retention period (currently 14 days).

9. Cookies and Local Storage

FuelDesk does not use advertising or tracking cookies. We only use browser local storage to keep you logged in (session token). No third-party analytics or advertising pixels run inside the app.

10. Children

FuelDesk is a business tool intended for users aged 18 years or older. We do not knowingly collect data from minors. If we learn that a minor's data has been collected, we will delete it.

11. Changes to This Policy

If we make material changes to this policy, we will notify registered users (by email or an in-app notice) at least 15 days before the changes take effect. The "Last updated" date at the top will always reflect the current version.

12. Governing Law

This policy is governed by the laws of India, including the Digital Personal Data Protection Act, 2023.
